The Job Pool is a list of unassigned jobs chosen by a manager/administrator.
Those jobs will be available for technicians and they will be able to assign them to themselves based on their schedule.
Activate Job Pool
In order to activate the job pool on your account go to Settings (1)> Options (2) > tick the option "Job Pool" (3).
If you wish you can also decide to add all created jobs to the job pool by default (4).
By doing so, the Job Pool box will be ticked by default in the scheduling window and also all jobs created by technicians will end up in the Job Pool.
Please note that this rule only applies to jobs created by users, and not jobs created through the customer portal.
If jobs are created through the customer portal and are added to the job pool, in order for technicians to see them, you will need to add a team or user scheduling preference to those jobs.
Add a job to the Job Pool
While creating a job in the Back Office you can decide to tick the Job Pool option which will make it available for scheduling for technicians.
To do so, click on "Add Job", fill in the job's details, tick the Job Pool box (2) and click on the "Save" button.
You can also select a previously created job, click on "Edit" in order to add it to the Job Pool.
All jobs for which you will have ticked this option will be available under Jobs > "Job Pool" and you will also be able to schedule them from there.
Job Pool Preferences
Using scheduling preferences will give you the opportunity to make the job available for certain groups of technician or for a technician in particular.
You will also be able to decide on a meeting date or provide date and time preferences so that the technician can know when is the best time to schedule the job for the customer.
Preference window and date
You can select a window preference which will indicate to the technician during which he can schedule the job.
If you select a preference date then this date will also be put by default when the technician schedules the job, but they will still be able to change it (unlike a meeting date).
In the above example, all technicians will be able to see and schedule the job. When one of them will schedule the job they will see the preference date and time slot as a preference but will still be able to schedule it at another time based on their own schedule.
Meeting
Should you select "Specific date and Date", the date and start time (1) will be locked and the technician will only be able to decide on the end time.
Group
If you select a group (2), only technicians belonging to this group will view the job.
User
If you select a technician (3) then only him will find the job in his job pool list.
In the above example, only the technician Mikael Shinoda will see the job in his job pool list and will be able to schedule it for himself. As the job has a meeting date and time, the job will have to be scheduled on the 14/05/2019, starting at 10 AM.
If no group or user has been selected then the job will be available for scheduling for all technicians.
